User Setup

Creating or Editing a User Profile

  1. Navigate to User Administration under the Administration tab.
  2. Select➕ (Add) button to create a user profile or select an existing one
  3. Enter the user’s First and Last Name.
  4. Choose the appropriate User Access Level.
  5. Click ✔ (Save) button when complete.
    Note: Entering the user’s email address is only necessary if they require Portal accounts

Medication Formulary Setup

Creating or Editing a Formulary

  1. Navigate to the ‘Administration’ tab and select ‘Formulary’.
  2. Click the ➕ (Add) button to create a new formulary or select an existing one.
  3. If creating a new formulary, enter a name for it.

Adding Medications to the Formulary

  1. Click the ➕ (Add) button in the ‘Drugs’ field to enter medications.
  2. Type “custom item” to manually enter the name
  3. Create Medication Profile
      • Nickname: The name that will appear on the MedServe cabinet.
      • Base Unit of Measurement (Base UOM): Ensure it matches the medication type (each, mcg, mL, mg, etc.).
      • Access Policy: Customize as needed per site policy.
  4. Waste Unit of Measurement (Waste UOM): Typically in mcg, mg
  5. Click ‘Save’ when complete.
  6. Repeat steps 4-6 to add additional medications.

Deleting a Medication from the Formulary

  1. To remove a medication, click the 🗑 (Delete) button next to the desired medication.
    • The medication will appear with a strikethrough but will not be permanently deleted.
    • It will no longer be available to be assigned to the MedServe cabinet.

Finalizing Formulary Updates

  1. Click the ✔ (Save) button in the upper-right corner when finished adding or deleting medications.
    • Note: Medications can be added or removed at any time in the future.


Cabinet Bin Setup Guide

Creating & Configuring Cabinet Bins

  1. Navigate to the ‘Administration’ tab and select ‘Cabinets’.
  2. Enter the bin name in the ‘Bin Name’ field.
    • TIP: The name should reflect the contents of the bin for easy identification.

Access Policy & User Permissions

  1. Customize Access Policy and User Lists as needed:
    • Access Policy: Defaults to the policy assigned to the medication stored in the bin.
    • User List: Defaults to all authorized users within the cloud account.

Assigning Medications to Bins

  1. Click ➕ (Add Medication) to assign medications to the bin.
  2. Select the desired medication from the dropdown menu.
    • Note: The menu will only display medications from the formulary assigned to the cabinet.
    • If a medication is missing, it must first be added to the formulary.
  3. Click ➕ (Add) after selecting each medication.
  4. Repeat for any additional medications needed.
  5. Click ✔ (Save) when finished.

Finalizing Cabinet Bin Setup

  1. Repeat steps 2-8 for each cabinet bin.
  2. When all bins are set up, click the ✔ (Save) button in the upper-right corner to finalize.

Generating Reports in MedServe

  1. Log into the MedServe Portal system.
  2. Navigate to the ‘Reports’ section from the top menu.
  3. Select the desired Report Type.
  4. Enter the Date Range for the report.
  5. Apply Filters as needed:
    • Filter by User
    • Filter by Device (if multiple devices exist at the site)
    • Filter by Item
    • If no filters are applied, a full report will be generated.
  6. Click ‘View Report’ to generate the report.
  7. Use ‘Previous’ / ‘Next Page’ to navigate through the report.
  8. Click ‘Save’ to download the report in the desired format.
    • Note: You can print directly from this screen, but the report will have extra spacing and may be longer than a downloaded version.
